To be able to sync data across your team or elsewhere, notion has the functionality of linked database. Linked database provides the ability to share and sync data.

What is a linked database in Notion?

Notion linked database is an independent database that has the ability to link to other databases. It is a data structure that allows for multiple users to share and update information at the same time.

Here is a complete step by step guide to setup notion workspaces from scratch alongwith notion templates.

How to create notion linked database?

In order to create a linked database, you need to do the following steps:

Step 1: Create a notion linked database

Create a new database with the name of your choice. I am going to create a database table in “Dashboard” workspace.

Notion workspace

Select the type of linked database

Step 2: Choose the type

The newly created database could contain anything varying from table, board or list to calendar, timeline or gallery. I have chosen the table and renamed the database as “Team Assignments”.

Step 3: Fill data in linked database

Open the database “Team Assignments” and fill in the appropriate rows and columns with required data. I have assigned three people with 3 different project assignments, can be clearly seen in the picure above.

Step 4: Using the database in another workspace

To be able to demonstrate link database usage, another workspace “Home” is selected. Create a new database in “Home” workspace(can choose any workspace). Here you will get the name of the linked database(Team Assignments in our case). Or to fasten the process, type ‘/linked’ to get names of linked databases and select ‘Team Assignments’.

Add linked databse from another workspace

Step 5: Modify data in linked database

Open ‘Team Assignments’ database and make alterations in the table. I have included the status field in the table. If it is a linked database it has to be synchronized across all workspaces automatically.

Step 6: Check for synchronization of data across all workspaces

Switch back to “Dashboard” workspace and check the contents of the linked database Team Assignments. The contents are being changed here as well, which concludes that our linked database is working perfectly fine across all workspaces.

Conclusion

The process of creating linked databases in notion is fairly simple. Also there is no complexity involved in using those linked databases in other workspaces. Linked databases get automatically synchronized as well, making it feasible to work within a team with shared documents.
